Frequently asked questions
What it is
Is FluxOps a CMMS?
No. A CMMS is where you plan maintenance and manage assets. FluxOps is where a problem becomes an approved, dispatched, and confirmed repair. Many customers use both; many use only FluxOps. FluxOps vs. a CMMS
Is it an EMS?
No. An energy management or building automation system detects that something is wrong. FluxOps works after that: it writes the work order in plain language, gets it approved, sends it to your contractor, and confirms the fix. It also runs in buildings that have no such system at all.
Is it a contractor marketplace?
No. FluxOps is not a marketplace and does not sell leads. Jobs go only to the contractors already in your own list, and a contractor only ever hears from customers who chose them.
Who is it for?
Multi-site operators and property teams in restaurants, convenience stores, retail, and light commercial buildings, from one location to a few hundred.
What does "work orders that prove the fix" mean?
It means a work order is not finished because someone said it was. Where the equipment can tell us, FluxOps confirms the fix from the equipment. Where it cannot, one tap from your team confirms it. Either way the record shows the problem is gone, not just that a technician visited.
Getting started
Do I need a building system?
No. FluxOps works as a work order platform on its own. Connecting a building system adds automatic problem detection and automatic fix confirmation.
How do I add my locations and equipment?
You add your locations first, then the equipment at each one. Equipment is added one unit at a time, by hand. Each unit is filed under its site and its trade, and from that day forward it carries its own record of every alert, work order, visit, photo, quote, and outcome.
Can I import from my current system?
Bulk import from connected systems is planned. Today, equipment is added per unit, by hand.
Can I start with one location?
Yes. Your first location is free for as long as you want it. It is one full site rather than a trial tier, so you can run real work orders all the way through before you add the rest.
Approvals and dispatch
Who approves work?
A person on your team, with one tap, from a phone. You can set a not-to-exceed amount so routine jobs approve themselves. Nothing is dispatched without that yes or that rule.
Can jobs approve themselves?
Yes, under a not-to-exceed amount you set per site or per job type. Under the limit, jobs approve themselves and go straight to the contractor. Above it, a person still taps yes.
What if a contractor declines?
You see it immediately and can send it to another contractor from the same screen.
Can I send to a different contractor?
Yes. Your contractor list belongs to your organization and you choose who gets each job, so you can send the same work order to someone else from the same screen.
Contractors
Do my contractors need an account?
No. The job arrives on their phone with everything they need. They accept, update, and close out from that same link. No app, no account, no fees.
Do they pay anything?
No. Never. You pay for FluxOps; your contractors never do.
What do they see?
Only the one job they were sent: the site address, the unit, a plain description of the problem, and the not-to-exceed amount. They never touch your account or your other sites.
Can they submit a quote?
Yes. If the work needs more than the not-to-exceed amount, the contractor sends a quote from the close-out screen and you approve it with one tap.
Can they have a login if they want one?
Yes, and it is optional and free. A contractor who wants to see all their jobs in one place can create a login later. The job link works either way.
Verification
How does FluxOps know a fix worked?
If the building system that reported the problem can see it clear, FluxOps confirms the fix automatically. If not, someone on your team confirms with one tap. Either way, the work order is not done until the fix is.
What if nobody confirms?
After a window you set, the work order is marked closed but unconfirmed, and it stays visible until someone verifies it.
What if the problem comes back?
It becomes a new work order on the same unit, and that unit already carries every previous alert, visit, photo, quote, and outcome. So the third failure this year is visible as the third, with what was done the first two times.
History and records
What is kept per unit?
Every alert, work order, contractor visit, photo, quote, and outcome, from the day the unit is added.
Are muted or declined problems deleted?
No. Nothing gets deleted, including problems you muted or declined, so the history of a unit is complete rather than only the parts that became jobs.
Can I export the history?
Yes, on request today; self-service export is planned.
Pricing
What does it cost?
$15 per site per month, with unlimited users and no fees for contractors. Your first location is free for as long as you want it. There is no contract and no minimum.
Is there a per-user fee?
No. The value is per building, so everyone who needs to report, approve, or look up a repair can, without you rationing seats.
Is there a contract?
No. Month to month, cancel anytime, no minimum number of sites.
What does "first location free" include?
Everything. It is not a trial tier; it is one full site, free, so you can run real work orders through it before you add the rest.
Is there a discount for many sites?
Not published. If you're above 100 sites, contact us.
Security
Where is my data?
In the United States, with a managed database provider.
Who can see it?
Only your organization. Every record is tied to it and access is enforced at the database level, not just in the app. Within your organization, your users see only the sites you give them.
Are contractor links safe?
A link works for one job and one role, expires, and can be revoked by you at any time. It gives no access to your account, your other sites, or anything beyond that one job.
What is audited?
Every approval, decline, assignment, mute, and mute override, with who did it and when. The record cannot be edited after the fact.
Start with one location. Add the rest when it earns it.
Flat $15 per site per month. Unlimited users. Contractors never pay. Your first location is free, for as long as you want.
